Corporate Member Press Room Guidelines for
ASTRO’s 2008 Annual Meeting

In an effort to provide corporate members more opportunities, ASTRO is pleased to provide a Corporate Member Press Room at ASTRO’s 50th Annual Meeting in Boston exclusively for ASTRO Corporate Members. The Corporate Member Press Room allows the media access to corporate information as it relates to ASTRO and the field of radiation oncology. We appreciate you adhering to the following guidelines.

Corporate Member Press Room Guidelines

 

1. Any press materials that relate to research and/or new products/services in the field of radiation oncology are permitted in the ASTRO Corporate Member Press Room. When appropriate, we ask that press releases state that this research and/or products/services were unveiled at the ASTRO Annual Meeting.
2. Press releases relating to scientific presentations at the ASTRO Annual Meeting must be embargoed until the date and time of the presentation.
3. ASTRO personnel will staff the Corporate Member Press Room and review all press releases for content. Corporate representatives are welcome to preview the room prior to show opening. Contact information such as booth number and point of contact can be included on press material; however, no corporate or public relations representatives are allowed in or directly outside the Press Room during show hours. 
4. Please include local contact information with your press materials. This will help ASTRO staff and members of the press locate your representatives more easily.
5. There is a limit of 10 different press releases from any one corporate member. Corporate members are asked to bring no more than 30 copies of each press release.
6. No outside press conferences can be allowed inside the Corporate Member Press Room. Organizations planning off-site media activities are encouraged to coordinate with ASTRO’s Communications Department to ensure they do not conflict with ASTRO sponsored activities.
7. ASTRO reserves the right to eject Corporate Members who do not adhere to these Corporate Member Press Room Guidelines.
8. ASTRO reserves the right to make judgments and/or decisions about any issues that arise that are not covered in these guidelines. The ASTRO Chief Executive Officer is the final arbiter of any questions or disputes that may arise.
